Job Description

Reports to: Service Manager, Account Manager, Managing Director

Purpose:
To take charge of the pre-event, post event and order management requirements of Sports In
Focus clients. This includes providing high level virtual assistance and support to the
Account Managers in the areas of task administration and delegation, customer support, and
client relationship management, preservation and improvement. Event Coordinators
contribute development of workflows and processes and exude impeccable professionalism
to maintain the great image of the Sports In Focus brand with its internal and external clients
and customers.

Key Responsibilities:

? Conduct marketing research and importing of data into internal systems. Assist with
preparing sales campaigns.
? Assist and coordinate with pre-sales requirements of the Account Managers including
preparation of sponsorship agreements, client logins, design samples and event
confirmation.
? Prepare, Complete and Review pre-event requirements for assigned events such as sending
booking confirmations, gathering important information, importing data, drafting of photo
schedules, and obtaining template approvals.
? Contact clients to confirm and verify attendance in photo events and provide confirmation to
designated Account Managers.
? Take charge in the handover of photos and orders whilst ensuring that photo orders are
processed as scheduled.
? Facilitate resolution for data clarifications and initiate escalations to Event Managers if
required
? Handle escalated concerns brought about by the Customer Support team and provide
resolution to pressing issues
? Monitor processing of event orders and ensure that they are completed and are ready for
delivery before the intended delivery due dates
? Solicit feedback from clients of their satisfaction and experience with Sports In Focus
? Prepare event turnover reports and cash sponsorship computations for the Event Managers
to verify
? Fulfill other tasks as deemed necessary by the Account Manager, Service Manager or
Managing Director.

Role Challenges:
The Event Coordinator needs to fulfill a wide coverage of duties and responsibilities. He/she has to
perform the basic duties such as setting up meetings and taking the minutes, data gathering,
assisting superiors, and fulfilling assigned tasks. The role also requires administrative functions,
which include but are not limited to encoding, researching, and reporting. He/she might also render
services such as data entry, financial reconciliation, schedule preparation, and other related
sports photography with a difference
functions. Another important skill that the role necessitates is customer service. He/she must be able
to effectively communicate with clients, customers, co-employees, and upper level management to
guarantee that results are delivered readily and accurately.

Person Profile

Knowledge & Experience:
? Must have at least 2 – 4 years of customer service /virtual assistance experience
? Must be well-oriented with Google Docs, CRM systems, and other similar software [protected]
? Experience in preparing and conducting meetings, and taking minutes for meetings.
? Have undergone basic phone customer service training, events management workshops is
an added advantage
? Must demonstrate high level english communication skills – written & verbal.

Skills:

? Must have the ability to work with patience and courtesy in customer relations.
? Must have the ability to communicate effectively, both verbally and in writing.
? Must be able to think quickly and logically to ensure expedient response to customer
inquiries.
? Excellent time management and organizational skills
? Must be able to handle high pressure situations.
? Must have above-average typing speed/skill.
